Cancellation Policy
This Cancellation Policy explains the terms that may apply when a client cancels, changes, or does not use a service booked through Avenhill Dale.
1. Booking-specific cancellation terms
Cancellation terms may vary depending on the event, hospitality package, supplier, organiser, venue, and type of booking.
The terms applicable to each booking will be communicated before payment or confirmation and may also appear in the relevant quotation, invoice, booking confirmation, or supplier terms.
By confirming and paying for a booking, the client accepts the cancellation terms disclosed for that booking.
Where booking-specific terms differ from this general Cancellation Policy, the booking-specific terms will apply, subject to applicable law.
2. Third-party supplier and event terms
Event tickets, hospitality packages, meet-and-greet experiences, private suites, exclusive-access experiences, and other services may be provided or fulfilled by third-party suppliers, event organisers, promoters, venues, rights holders, ticketing providers, or hospitality providers.
Bookings may therefore be subject to the relevant provider’s cancellation, amendment, transfer, and refund terms.
Some bookings may require non-refundable deposits or become fully non-refundable once confirmed. Where applicable, these conditions will be communicated before booking confirmation.
3. Cancellation by the client
To request a cancellation, please contact us in writing at:
Email: bookings@avenhilldale.com
The request should include the client’s name, booking reference, and details of the booking being cancelled.
Each cancellation will be handled in accordance with the terms applicable to the relevant booking.
Where no specific cancellation terms have been provided, we will consider whether the booking has already been confirmed with a supplier, whether funds have been committed or paid, any services already performed, reasonable costs already incurred, and applicable law.
4. Statutory cancellation rights and non-refundable bookings
Certain event-related services scheduled for a specific date or period may not be subject to a statutory cooling-off or cancellation period under applicable consumer law.
Certain bookings may also be non-refundable or subject to restricted cancellation terms. These may include:
- Event tickets and premium seating
- Hospitality packages
- Private boxes and suites
- Meet-and-greet experiences
- High-demand or limited-availability events
- Red carpet, awards, fashion, film premiere, and other exclusive-access events
- Corporate and group hospitality bookings
- Services requiring advance non-refundable payment to a supplier
Any applicable cancellation restrictions will be communicated before payment or confirmation. Nothing in this Policy limits any statutory rights that cannot legally be excluded or restricted.
5. Changes, transfers, and amendments
Please submit requests to change a booking as early as possible.
Changes are subject to availability, supplier approval, event rules, and the original booking terms. Additional charges may apply.
Tickets, accreditations, invitations, hospitality passes, meet-and-greet access, or other credentials may be personalised or non-transferable. Requests to change the attendee, guest name, date, package, or other material element may therefore be subject to supplier approval, additional charges, or treatment as a cancellation and new booking.
6. Service, planning, and administration fees
Where Avenhill Dale charges a separate sourcing, planning, coordination, administration, concierge, or professional service fee, the applicable terms will be communicated before booking confirmation.
Where work has already commenced or the agreed service has been provided, all or part of the relevant service fee may be non-refundable, subject to the applicable booking terms and law.
7. Corporate, group, and private suite bookings
Corporate hospitality, group bookings, and private suites may be subject to specific deposit, payment, guest allocation, and cancellation conditions.
Because these arrangements often involve reserved inventory or commitments made specifically for the client, deposits or payments may become non-refundable earlier than for individual bookings.
The applicable conditions will be communicated before confirmation.
8. No-shows and unused services
Failure to attend or use a confirmed booking without cancelling in accordance with the applicable terms may be treated as a no-show and may not be eligible for a refund.
Clients are responsible for arriving at the correct venue at the required time and complying with all ticketing, identification, accreditation, entry, dress code, age, and other requirements communicated by Avenhill Dale, the venue, organiser, or supplier.
9. Event cancellations, postponements, and material changes
Events may occasionally be cancelled, postponed, rescheduled, relocated, or otherwise changed, including changes to performers, artists, teams, athletes, schedules, programmes, or line-ups. Any refund, rescheduling, credit, or alternative arrangement will depend on the nature of the change, the relevant organiser or supplier terms, and applicable law.
Where Avenhill Dale acts as an intermediary, any refund, rescheduling, credit, or alternative arrangement will depend on the relevant supplier or organiser’s terms, the circumstances, and applicable law.
We will provide reasonable assistance by communicating available options to the client and helping to process any resolution offered by the relevant provider.
